We only collect personal data when you apply for an account with us or place an order on a PROFORMA basis. If you apply for an account, we will ask you to fill out an application form that includes your name, address, and other information about your business. If you require credit facilities, we will also ask for details of trade references. We store a scanned copy of your application form for future reference. Once you begin trading with Aura Flooring, we will store the following information about you:

  • Details of all your placed orders
  • Email correspondence between yourself and Aura Flooring
  • Call recordings
  • Minor notes regarding your account, such as:
    • Call details from sales representatives and the office
    • Sampling history
    • Notes necessary to the trading relationship between yourself and Aura Flooring
    • Notes/attachments about complaints that may have been logged

Why do we need this data?

We need this data to process your orders, audit our stock, and provide proof of sales. We also keep this data so that in the event of an error, we can easily look up the original phone call or email to help rectify the error. We record all calls in and out of the main office to protect both Aura Flooring and our customers.

How do we collect and store this data?

We collect data when you fill out an application form or submit an interactive website form. We store your data in a secure database for 7 years. Data older than 7 years is automatically destroyed. We store call recordings on a separate encrypted hard drive for 6 months. Email correspondence is stored on Microsoft servers, which are regularly audited and updated to reflect the latest privacy laws. We store minor account notes in a separate encrypted database that is only accessible to local users.

Who has access to this data?

Only authorized personnel at Aura Flooring have access to this data. We do not share or sell your data with third parties.
